Knowledge and Monday: HOA Document Q and A Template
Staff ask a question against your embedded HOA bylaws and meeting minutes, a Knowledge node returns a cited answer, and the question and answer are logged as a Monday item for the records.
What It Builds
A Manual trigger collects the staff member's question. A Knowledge node in Query mode searches your embedded bylaws, CC&Rs, and meeting minutes and returns a grounded answer with the source documents cited. A Monday connector node then creates an item capturing the question, the answer, and the citations so every lookup leaves a paper trail in Spojit.
The Prompt
Paste this into Miraxa and it builds the workflow, connecting the tools for you:
Build a workflow with a manual trigger that takes a question typed by a staff member, queries my HOA knowledge collection of bylaws and meeting minutes for a cited answer, and then creates a Monday item on my "HOA Q and A Log" board with the question, the answer, and the source documents it cited.
Connectors Used
- Manual trigger - a staff member starts the run and types their question.
- Knowledge node (Query mode) - searches your embedded HOA documents and returns a cited answer.
- Monday - logs the question, answer, and citations as a board item.
Customize It
Change the board name to match your own, point the query at a different collection (for example a separate one per community), or add fields such as the staff member's name or a category column. You can also tighten the Knowledge prompt to ask for the exact clause number, all without a second Miraxa prompt.
Tips
- Embed your bylaws and minutes into a persistent Knowledge collection first so it is reusable across every run.
- Use the Monday node in Direct mode for a predictable item shape with no AI cost.
- Keep documents up to date: re-embed amended bylaws so answers stay accurate.
