Mailhook and Monday.com: RFP Email Intake Template

This Spojit template turns RFP and quote-request emails sent to a Mailhook address into structured opportunity items on a Monday.com board, ready for sales to action.

What It Builds

A Mailhook trigger gives this workflow its own dedicated email address. Whenever an RFP or quote request lands there, an Agent-mode Connector node reads the message and pulls out the key requirements, then a Monday.com Connector node creates a new opportunity item with that summary so your sales team picks it up immediately.

Build a workflow that triggers on a Mailhook address. When an RFP or quote-request email arrives, have an agent read the email and summarize the buyer's requirements, budget, and deadline into a few clear bullet points. Then create a new opportunity item on my Monday.com sales board, using the email subject as the item name and putting the summary, the sender's email address, and the received date into columns.

Customize It

Change the target board name, swap which fields map to which columns, or adjust what the agent extracts (for example add company name or product category). You can also tell it to set an initial status like New or assign an owner.

Tips

  • Share the Mailhook address with your contact form or a forwarding rule so RFPs route in automatically.
  • The agent summary works best when you name exact fields you want; vague prompts give vague items.
  • If a sender attaches a spec sheet, add an Attachment node to pull the file in before summarizing.
